The tasks of this post include:

  • Focal point of HR, providing orientation and managing the implementation of the HR policy of the company;
  • Contribute to the creation and implementation of best practice capacity planning vision, strategy, policies, processes and procedures to aid and improve operational performance;
  • Contribute to new business initiatives and projects and review and communicate the impact on Quality activities;
  • Improve and implement all relevant procedures described in the company Quality System and ensure compliance;
  • Ensure that all necessary systems and procedures are in place to manage the team and ensure high quality performance and deliverables;
  • Introduce new systems and procedures where appropriate;
  • Train others in all aspects of the quality system and application of procedures
  • Develop and update quality documentation and ensure procedures are maintained and updated;
  • Responsible for the Quality of the internal server;
  • Organising meetings and managing internal databases;
  • Organising induction programmes for new employees;
  • Responsible for developing and implementing office policies by setting up procedures and standards to guide the operation of the office;
  • Ensuring that health and safety policies are up to date;
  • Leading the organisation’s HR function by keeping personnel records up to date, arranging interviews, etc.;
  • Performance review support;
  • Support to the recruitment processes of the company;
  • Undertake internal reviews of deliverables including formatting of reports and presentations and edition of documents;
  • Update the CVs of the personnel, and the track record list of the company;
  • Provide support to maintain the webpage of the company up to date, writing short articles and news and managing the WordPress site of the company;
  • Other administrative tasks needed to support the company’s functioning and the staff;
  • Develop, implement and manage key performance indicators (KPIs) and client satisfaction surveys and meetings;
  • Ensure that the function operates in accordance with any health, safety and environmental policies and procedures to ensure the safety and wellbeing of staff;
  • Manage, coach and develop a high performing team that meets agreed objectives and which delivers best practice results, added value and continuous improvements;
  • Motivate and coach the team to operational success;
  • Monitor the completion of tasks and ensure good performance;
  • Consistently promote high standards through personal example and roll out through the team so that each member of the team understands the standards and behaviours expected of them;
  • Review, implement and update company records e.g. training matrices and performance reviews;
  • Develop and maintain strong relationships with internal and external stakeholders to ensure optimal performance;
  • Work as part of the Management team to share ideas and improve operation, recommending, supporting and implementing continuous improvement activities and process and procedure improvements to optimise results and improve quality of delivery, in line with quality standards requirements delivery in line with Company and Customer requirements;
  • Communicate with personnel at all levels;
  • Support to the development of proposals to international tenders.

Required:

  • A relevant educational background in Administration, HR, Quality, or similar;
  • Demonstrated experience in the edition of documents using the Microsoft Package (Word);
  • Experience in working effectively in a team, taking a positive approach to change and challenges;
  • Experience in planning and organizing your own workload and dealing with conflicting priorities; comfortable working under pressure and flexibly switching between tasks, often at short notice;
  • Using initiative and discretion to action items requiring immediate attention, referring matters to others as appropriate;
  • Good oral and written communication skills in Spanish and English, including writing minutes and experience of using a variety of communication methods;
  • Good working knowledge of Microsoft Office and experience of working with spreadsheets, database entry and manipulation;
  • Ability to maintain electronic diaries of a team and experience of coordinating meetings, both internal and external;
